Events

In order to manage the events for your calendar system, you will need to login to your System Administrator account. You may login by clicking "Login/Create Account" on the top menu of your calendar. After you are logged in, you will be presented with the user account screen. On the top menu, you should see a link labeled "Admin". Clicking this link will take you to the admin control panel.

When you enter the admin control panel, you will see a list of links in the left hand column. This section of the manual deals with the "Manage Events" section of your control panel. After clicking the "Manage Events" link, you will be presented with a page which will allow you to create, edit, delete, approve and clone events.

Only users assigned to the System Admininistrator usergroup, or who are in a user group with the Panel Access, and Manage Events flags set to yes are able to view this section of the admin panel. Administrators can be restricted based upon which calendar(s) they have access to, and even further restricted so that they can only edit their own events.

This section of the administration panel is the most complex, so we'll try to break this down into bite sized pieces.

Add event
In order to add an event, choose which calendar you wish to post the event to from the list of your permitted calendars and click Process. If you have previously saved event templates, you may choose to use one of these templates by selecting it in the pull down box before you click Process.

When you get to the Add Event screen, you will see that there are many options and fields for you to complete. Fill out the fields as completely as possible, so that your visitors have as much information as possible.

When selecting the date(s) for your event, you will have two different methods to choose from. The "normal" mode will allow you to use the pull down selectors to set the date, time, and repeating options. If you choose the "advanced" mode, you will need to manually enter all of the selected dates/times for this event. If you are setting up a repeating event, you will need to set how many times or how long to repeat this event. Please keep in mind that if you choose to repeat an event 5 times, there will be 6 occurances of the event.

If your event offers reservations for limited seating/attendance, click the [show/hide] link next to the Event Registration section. This will allow you to enter different seating/ticketing options for your event. Please see the reservations section of this manual for more information on setting up reservations.

The admin options section will allow you to choose how the calendar system reacts to this event posting. You can select not to send out an event notice to subscribed visitors to this calendar, allow this event to overlap other events and thus overriding the calendar setting, mark this event as private to this calendar which prevents other calendars from embedding it, and saving the event as a template for future use. If you choose to save the event as a template, the template title will be the event title. All information will be saved with the exception of the time and date in this template.

Search events
You may use this search box to quickly find events which match your search, rather than navigating through the monthly display of events. You will be presented a list of all events which match your server.

Pending events
The pending events section will display all events which have been submitted by visitors to your calendar which have been held in queue for your approval. It will also show you if this event was supposed to be paid for, but was not. This way you will be able to contact the poster to collect payment for the event. Clicking the event title will show you the complete event details in a popup window. If you wish to approve the event, you can either click the approve link, or select the check box next to the approve link to approve multiple events at once. If you wish to edit the event, click the edit link and make your changes. You may delete the events either one at a time, or by checking the box next to the delete link to perform mass approval/deletion of pending events.

Pending edits
You can configure users so that they may edit their own events. If they do, and you require approval before submission, you will be shown the event here. You will see both the current event, and the proposed event side by side so that you may determine whether to approve or deny the edit request. Please note that when the visitor does edit their event, the current event does stay on the calendar until you approve the new changes.

Current events
This section will show you a list of events for the currently selected month. The list is a collapsed list, by day. In order to see events for that day, just click the [show/hide] link. When viewing a day, you will be shown a list of events posted on that day. You will be shown the title, times, which calendar the event was posted to and who posted the event. If you wish to see the complete event details, click the event title. To the right of the events are 4 or 5 links with actions you can take on those events. To edit the event, click the edit link. To delete the event, click the delete link. If you wish to start a new event with this events information, click the clone link. If you wish to remove the event from the calendar, but not delete it, use the hide link.
